JOB DESCRIPTION
SR. INTAKE AND ADMISSIONS COORDINATOR – Full Time - Hybrid
Geriatric Outpatient - GATES
GENERAL SUMMARY/ OVERVIEW STATEMENT:
Performs a variety of duties to provide administrative support and coordination of assigned area/program.
Intake-
Performs routine intake and referral coordinator duties:
- Answers calls within a reasonable period of time
- Schedules appointment or triages call to appropriate resource
- Registers new patients according to departmental policy and procedure
Monitors office work flow. Reports issues to manager:
- Inputs Master Schedule changes in timely fashion and is sensitive to the need for updated masters, distributing reminders as needed
- Reports “extended” parameters for the return of intake calls
Geriatric Outpatient – GATES
- Coordinate intake and scheduling patient evaluations for GATES program.
- Coordinate standardized data collections for patients.
- Coordinate receipt of referrals/records from community providers and/or in-house providers
- Facilitate room scheduling
- Notify patients of impending appointments
- Responsible for eBUY
- Filing/scanning/faxes/mailing/maintaining department inventory/records/supplies, etc/as needed
- Provide coverage as needed for other geriatric administrative staff
Identifies opportunities to improve efficiency and effectiveness of departmental activities
Implements and monitors projects in collaboration with clinic manager and director
Performs special projects as directed
Contributes to effective interpersonal and community relations to promote the quality of patient care and to promote a positive image of McLean Hospital.
Collaborates, as requested, with other departments of the hospital to meet identified needs.
Contributes to the productivity and cost effectiveness of the department and hospital.
QUALIFICATIONS:
Bachelor’s degree preferred.
3-5 years professional experience preferred.
Epic or other EMR experience preferred.
Skills:
- Exceptional Computer skills including proficiency in Microsoft Office 365
- Ability to quickly learn and apply new technology.
- Takes initiative, multi-task, and follow through to completion with attention to detail.
- Must be self-directed and committed to excellence and continuous improvement of processes.
- Ability to prioritize multiple requests and deadlines while maintaining flexibility and dedication to task.
- A high degree of comfort working with an outpatient psychiatric population normally acquired through the equivalent of 3 years experience in a mental health or human services setting.
Working Conditions:
- Busy office setting.
- Hybrid – Primarily 2 days in the office and 3 days remote
- Office days may vary based on clinic need
