Job Description

As a Human Resources Administrative Assistant, you will provide support to all HR department functions. The HR Administrative Assistant is an essential position within the Department of Human Resources (DHR) and will serve as the point of contact in a highly visible customer focused environment, performing a wide range of confidential human resources and administrative functions across multiple HR program areas. Specifically, this is responsible for:

  • providing support to the HR Workforce Planning Team posting job ads, recruitment closeouts;
  • responding to employment recruitment and job application inquires;
  • assisting in the development and editing of divisional SOPs;
  • serve as a records retention coordinator;
  • maintaining Human Resources official personnel file management;
  • providing orientation for new employees by sharing onboarding packages and explaining County policies;
  • ensuring compliance with the federally regulated I-9/Employment Eligibility Verification program;
  • assisting in the issuing of County photo ID badges;
  • preparing reports and presentations for internal communications;
  • recording Virginia unemployment claims and responding to verification of employment inquires;
  • supporting the County's annual Service Award Program;
  • serving as back up to the Human Resources front counter service area answering general inquires;
  • processing incoming mail and maintain email boxes, calendars, and meeting room calendars;
  • ordering and maintain office supply inventories and equipment;
  • contributing to the coordination and setup of various HR related events and programs;
  • providing administrative support to departmental staff with special projects.

You will have the opportunity to support cross-divisional teams, participate in special projects to provide top-notch customer service through different platforms of communication. Reporting directly to the HR Administrative Manager, the Human Resources Administrative Assistant is a non-supervisory position that primarily supports the Workforce Planning Division and respond to routine and sensitive inquiries from County staff, citizens and public officials in a prompt and courteous manner. The successful candidate will be able to work in a team focused environment, independently and handle shifting priorities with agility organizing and prioritizing work to meet departmental deadlines. This position requires a high standard of confidentiality and professionalism while working with all levels of County staff and members of the public.

The Department of Human Resources is a dedicated team of 40 plus Human Resources professionals who provide comprehensive HR services to 30 plus County departments and agencies, including approximately 4,000 full-time and part-time employees. The Department of Human Resources places a strong emphasis on customer service, teamwork, innovation, and fostering a fun and collegial department culture. We have a passion for serving the County's talented and dynamic workforce as they work to serve the citizens of Loudoun County.

HIRING RANGE: $43,607.47- $58,870, commensurate with experience.

Job Requirements

Strong knowledge of Human Resources administrative best practices. Skilled in confidential record handling, problem solving, critical thinking, and administrative environments. Ability to communicate effectively, both verbally and in writing. Ability to establish positive and collaborative working relationships at all levels of the organization. Requires any combination of education and experience equivalent to a high school diploma and four (4) years directly related administrative experience. Proficiency in MS Office software required. Certified Administrative Professional (CAP) and previous related Human Resources experience with HRIS software desirable. Experience with posting job announcements and Virginia Notary Commission strongly preferred.
