The Sr. Administrative Coordinator provides administrative and project/program support to six faculty research professors, lab manager and research lab staff on a daily basis. Serves as initial point of contact for all neonatology lab groups and liaison with divisional administrative office. Serves as administrative backup for other divisional administrative staff as needed.
Requirements
Maintain complex calendars of faculty members
Schedule complex meetings with multiple participants; prepare meeting materials to be presented in an organized and timely fashion
Create tables, charts, graphs, power point presentations, etc. on a regular basis
Arrange travel accommodations, including generating itineraries
Serves as main point of contact and coordinates large meetings; contact speakers, provide details of meetings/talks, resources needed
Assist with clinical schedule updates and distribution in QGenda
Create electronic notices/flyers for distribution/posting for large divisional events
Order refreshments/meals for division events
Maintain paper and electronic filing systems
Maintain and update grant related documents, such as biosketches and other support documents
Create and maintain various databases; prepare and maintain reports
Compose, edit, proofread on behalf of faculty members
Process online check requests in SAP/OPEN and reimbursements in Concur
Monitor supply inventory and replenish as needed
Receive deliveries on behalf of research teams; deliver to respective labs as needed
Coordinate service requests through Facilities, EVS, etc. as needed to maintain acceptable working environment of the lab and office suites
Provide excellent customer service and support to faculty, staff, students, visitors, etc.
General administrative, clerical, data support and other special projects as assigned
Qualifications
High School Diploma required; Bachelor's Degree strongly preferred. Five years progressively responsible experience required, preferably in a research or academic environment. Additional education may substitute for experience, to the extent permitting by the JHU Equivalency Formula
